Visit Notes and Guest Notes are a great way to build your guest profiles and reservations to give your guests the best experience possible with every visit. 

Visit Notes: 

  • Live on a particular reservation only 
  • Ex: Birthday, anniversary, requested a booth if available, high chair request, bringing a cake, going to a show after dinner, etc.

Guest Notes: 

  • Live on a guest profile indefinitely 
  • Ex: Regular, nut allergy, friend of house, etc.

Visit and Guest Notes can be added the following ways:

  • In the Booking Module while viewing the guest profile .
  • By tapping the reservation on the timeline or floorplan view.
  • By searching a guest in the guest book, tapping their profile, and adding from there.

 

Adding Visit Notes on the Guest Profile While Making a Reservation

  1. Tap the plus sign to the right of "Note" 
  2. Tap "Visit"
  3. Type your note 
  4. Tap "Select" next to "Added by" to note who is leaving the note. If your name/initial isn't on the list, scroll down to the bottom and tap "Add Name". 
  5. Tap "Add" 

Adding Guest Notes on the Guest Profile from Booking List

  1. Tap the reservation that you want to add a note to (either from Floor Plan View or Timeline View) 
  2. Tap the plus sign to the right of "Notes"
  3. Tap "Guest"
  4. Type your note 
  5. Tap "Select" next to "Added by" to document who is leaving the note. If your name/initial isn't on the list, scroll down to the bottom and tap "Add Name". 
  6. Tap "Add" 

Adding Guest Note to Guest Profile from the Guest Book:

  1. Tap your venue name in the upper left corner
  2. Tap "Guest Book"
  3. Search for the guest by phone number, name or email address
  4. Select the guest profile
  5. Tap the plus sign to the right of "Notes"
  6. Tap "Guest"
  7. Enter your note 
  8. Tap "Select" next to "Added by" to document who is leaving the note. If your name/initial isn't on the list, scroll down to the bottom and tap "Add Name". 
  9. Tap "Add" 

 

Viewing Visit Notes on Floor Plan View 

In, your settings click Reservations then toggle on 'Show reservation Visit Notes on Reservation list'. The guests Visit Notes will appear under the reservation name. 

Both Guest and Visit Notes can be viewed on the guests reservation profile:

Pro-tip: The user's name who added or last edited the Guest or Visit Note will be shown to the right of the note for accountability purposes.
